Provide identity and context without oversharing
Give the adviser the exact unit and offer identifiers, your intended use, relevant timing and the questions you need answered. Share identity, financial and personal documents only through an approved secure channel and only when needed for the engagement. Do not place private documents in public analytics, listing pages or uncontrolled email chains.
Start from the evidence checklist — Identify which documents and answers are still missing.
Organize source documents by question
Group supplied title, ownership, building, quota, management, service-charge, tenancy, layout and draft-contract materials according to the issue they address. Preserve the original file, source, date and version. Do not relabel a brochure or an agent statement as a legal conclusion. Ask counsel which originals, translations, searches or confirmations are required.
The purpose of the pack is to make independent review efficient, not to steer the adviser toward a predetermined answer.
Record the advice and the remaining conditions
Keep the adviser’s scope, conclusions, assumptions and conditions with the decision record. Track which questions remain open and which changes require a new review. If the offer, included items, tenure structure or draft terms change, do not assume that earlier advice automatically covers the new version.
- Record who advised, when and on which document versions.
- Keep professional fees and independence visible.
- Separate commercial negotiation from legal and tax conclusions.
- Reconfirm material terms before signing or transferring funds.
Connect advice to the dossier — Maintain source history without exposing confidential material publicly.
